The Senior Secretary performs professional and secretarial functions or high-level clerical support functions for the Department of Health Office of Disease Prevention Services. Duties include high level program administrative support as well as handling invoices, responding to record requests, ordering supplies, answering phone and answering inquiries, and maintaining data systems.
The Ideal Candidate Will Have:
Experience with secretarial and administrative support duties, as well as excellent written and verbal communication skills. This position requires the ability to prioritize and complete multiple projects simultaneously, often with interruptions and directional changes due to needs within the organization.
- computers and a variety of programs, including Microsoft Office Suite software (Outlook, Word, Excel, and Access);
- specialized programs and databases used within the Department.
- manage multiple projects with attention to detail, accuracy, and timeliness, and prioritize those projects as necessary;
- ask appropriate questions when needed;
- manage day-to-day functions and long-term projects for the Department;
- provide excellent customer service to callers and visitors of the Office of Disease Prevention.
- work in collaborative team environments;
- demonstrate effective time management and organizational skills, often handling multiple projects at one time;
- Pay close attention to detail and to communicate effectively and timely.
