This is a full-time position (30 hours per week/Monday-Friday) located in the Game, Fish and Parks administrative office in Pierre.
The Senior Secretary will serve as the primary assistant to the Director and Deputy Director of the Wildlife Division, as well as provide assistance and clerical work for other department managers as needed or directed.
The incumbent will provide clerical/secretarial support including tasks such as establishing and maintaining filing systems and databases, gathering and providing information, directing incoming phone calls and assisting with walk in customers, answering calls from the public and providing answers to licensing/hunting/fishing regulations and seasons, processing incoming and outgoing mail, preparing and processing vouchers, registering staff for conferences and making travel arrangements, scheduling meetings and occasionally taking minutes.
The position will also assist with statewide programs by providing administrative assistance to managers across the state with financial services and tracking and coordinating various permits.
This Sr. Secretary position will likely assist with monthly Game, Fish and Parks Commission meetings that will require interacting with Commissioners, staff, and the public. Ten monthly Commission meetings are held each year with about half held around the state which would require traveling and overnight stays; remaining monthly Commission meetings are held in Pierre.
Operating modern office equipment and computer systems. To successfully perform these duties the incumbent will be required to become familiar with the department point of sale system (Go Outdoors) and electronic filing procedures.
The Ideal Candidate Will Have:
The ability to successfully plan and organize work activities, adjust to multiple demands, and prioritize tasks to complete assignments and meet schedules and deadlines. Self-motivation and the ability to work independently as well as cooperatively.
Knowledge of:
- modern office equipment, practices and procedures;
- Microsoft Word, Excel, Outlook and Access and Adobe;
- bookkeeping methods;
- Business English including grammar, spelling and punctuation; and
- State of South Dakota accounting system and coding (preferred but not required).
Skill to:
- type and enter data accurately;
- add, subtract, multiple and divide mathematical figures; and
- operate standard office equipment.
Ability to:
- establish and maintain effective working relationships with customers and office team members;
- organize and coordinate a variety of processes and data;
- obtain and provide information by phone in a clear and courteous manner and take messages;
- navigate and help customers navigate the website and point of sale system; and
- organize and coordinate activities and travel.
